Downloading your certificates from the legacy Student Portal

This page is for students who enrolled with us prior to 2025, whose records sit in our legacy Student Portal (VETtrak). If you enrolled from 2025 onwards, your certificates are in the aXcelerate learner portal instead — see downloading certificates from aXcelerate.

Instructions

In order to download your certificates:

  1. Log in to the Student Portal.
  2. Click on the "Awards" tab.
  3. On the relevant award, click "Actions".
  4. Click "View Files".

From there you can view and download your certificates.

See the process in action in our short walkthrough video: https://cht.edu.au/wp-content/uploads/2022/05/Download-Cert.mp4

A password reset is available from the portal login page. If the reset email does not arrive, the address we hold for you may be an old one — contact us and we will check the record rather than leave you cycling through resets.

Why a legacy portal still exists at all

This is the question we get most often, and the answer is a rule rather than a preference.

An RTO must retain records of all AQF certification documentation issued to students for a period of thirty years, in accordance with the AQF Qualifications Register Policy. Separately, it must ensure VET students — including those previously enrolled — are able to access copies of their AQF certification documentation retained under that thirty-year rule.

So the obligation attaches to the record and to your access to it, not to whichever software we happened to be running when you studied. When we moved to aXcelerate, the pre-2025 records stayed where they were and the portal stayed open, because closing it would have cut off the access the rule requires us to provide.

We also maintain a register, in accordance with the same policy, of the AQF qualifications we are authorised to issue and of the AQF qualifications and VET statements of attainment we have issued to students. If something is missing from the portal, that register is where we look.

Assessment records are a different, shorter story

Two retention periods apply and they are not the same length.

What How long Measured from
Records of AQF certification documentation issued to you 30 years Issue
Records of assessments you submitted to us or to a third party 2 years After you completed the training product

So for a course you finished in, say, 2019: your certificate record is retained and accessible, while the assessments you submitted for it are long outside the two-year window. If you need evidence of what you actually did rather than what you were awarded, the certificate and your national transcript are what exist.

If you cannot get into the portal

In order of how often it works:

  1. Use the password reset on the portal login page.
  2. Check which portal you should be in. Pre-2025 enrolments are in the legacy portal; 2025 onwards are in aXcelerate. If you studied with us in both periods, your records are split across the two and the one you remember may not be the one holding the certificate you want.
  3. Contact us on 03 9654 1554 or info@cht.edu.au, 8:30am to 5:30pm Monday to Friday. Have your name as it was at the time of enrolment, an approximate course date and your USI if you have it.
  4. Use your authenticated VET transcript as an interim record — see below. It is free and immediate, and for many purposes it is sufficient.

If your name has changed since you studied, say so at the start of the conversation. It is the single most common reason a record cannot be found on the first search.

The record that does not depend on us

Your USI account gives you an authenticated VET transcript — a national record of nationally recognised training you have completed with any provider, generated from the USI system rather than by us.

It is worth knowing about for three reasons:

If you do not have a USI, or cannot remember it, see USI. Note that your USI will not appear on the certificate itself: an RTO must not include a student identifier on a VET qualification or VET statement of attainment.

Reprints

We will re-issue certificates at the written request of a student. Certificate reprint is charged at $50 and the replacement process takes approximately 10 working days.

A reprint reissues a certificate that was already issued to you. If a certificate was never issued in the first place, that is a different matter — once we have assessed you as meeting the requirements of the training product, we must issue the AQF certification documentation within 30 calendar days from the completion of the assessment, provided you completed the qualification or units and have paid all agreed fees. For an old enrolment, an unpaid balance is a common reason nothing was ever issued.

Questions and answers

Which portal holds my certificate?

The legacy Student Portal if you enrolled prior to 2025. The aXcelerate learner portal if you enrolled from 2025 onwards — see downloading certificates from aXcelerate. Enrolled in both periods? Your records are split across the two.

How do I find a certificate in the legacy portal?

Log in, open the Awards tab, click Actions on the relevant award, then View Files. Your certificates are viewable and downloadable from there.

My password does not work.

Use the password reset link on the portal login page. If the reset email never arrives, we may hold an old email address for you — contact us and we will check the record.

I studied with CHT in 2016. Will anything still be there?

Yes. Records of AQF certification documentation issued to students are retained for thirty years, and we are separately required to ensure that students, including those previously enrolled, can access copies of them. A 2016 certificate is comfortably inside that window.

Can I get copies of the assessments I submitted back then?

Almost certainly not. Records of assessments submitted to us or to a third party are retained for two years after you completed the training product. That window closes long before the certification record does.

Why has CHT changed portals?

aXcelerate is our current learner portal, used for enrolments from 2025. The legacy portal remains open for earlier enrolments rather than migrating or discarding them, because our obligation is to keep the certification record for thirty years and to keep your access to it open.

My name has changed since I studied. What do I need?

Tell us both names. Have your name as it was at the time of enrolment, an approximate course date, and your USI if you have one. A changed surname is the most frequent reason a search comes back empty on the first attempt.

I never received a certificate at all. What now?

Check two things before anything else: whether all agreed fees were paid, and whether we hold a verified USI for you. The thirty-day issue obligation is conditional on both — and under section 53 of the Student Identifiers Act 2014, an RTO must not issue a VET qualification or statement of attainment at all unless the individual has been assigned a student identifier. If both conditions were met and nothing issued, contact us.

Is the $50 reprint fee charged for a certificate I never got?

No. A reprint is a re-issue of a certificate already issued. An original issue that never happened is handled under the thirty-day rule, not as a reprint.

What is an authenticated VET transcript, and should I use it instead?

It is a national record of the nationally recognised training you have completed with any provider, generated from your USI account rather than by us. For proving to an employer or another RTO that you hold a unit or qualification, it is often enough, it is free, and it covers providers other than us. For a formal credential document you need the certificate itself.

Can I use these old records for credit into a new course?

Yes — that is credit transfer. The evidence is your AQF certification documentation or an authenticated VET transcript showing prior completion of an equivalent training product. Note that an old unit code may have been superseded and marked not equivalent to the current one, in which case a gap assessment applies rather than a straight transfer. Bring what you have and we will map it.

What if I have skills but no paperwork?

That is recognition of prior learning rather than credit transfer. RPL decisions are based on evidence of your prior skills, learning and experience, assessed through our assessment system, and you are entitled to be offered the opportunity to seek RPL and to be made aware of our RPL policy. See policies and student toolkit.

Does an old certificate expire?

The AQF record does not. Some licences built on top of a unit do — RSA and food safety requirements are set by state and territory regulators and some jurisdictions require refresher training or a current certificate. So your statement of attainment stands, while the licence it supports may need renewing. Check the requirement for the state you are working in.

Who do I contact about an old record?

Call 03 9654 1554 or email info@cht.edu.au, 8:30am to 5:30pm Monday to Friday. Our address is 28 Elizabeth St, Melbourne.

Which portal am I supposed to be in?

If you enrolled prior to 2025, your records sit in the legacy Student Portal (VETtrak), which is what this page covers. If you enrolled from 2025 onwards, your certificates are in the aXcelerate learner portal instead. See downloading certificates from aXcelerate (/downloading-ax-certificates/).

What are the steps to download from the legacy portal?

Log in to the Student Portal, click the "Awards" tab, click "Actions" on the relevant award, then click "View Files". From there you can view and download your certificates.

Why does a legacy portal still exist?

Because of a rule rather than a preference. An RTO must retain records of all AQF certification documentation issued to students for thirty years under the AQF Qualifications Register Policy, and separately must ensure VET students, including those previously enrolled, can access copies of that documentation. The obligation attaches to the record and to your access to it, not to whichever software was running when you studied. When CHT moved to aXcelerate the pre-2025 records stayed where they were and the portal stayed open, because closing it would have cut off the access the rule requires.

What if something is missing from the portal entirely?

CHT also maintains a register, under the same policy, of the AQF qualifications it is authorised to issue and of the AQF qualifications and VET statements of attainment it has issued to students. If something is missing from the portal, that register is where CHT looks.

How long are my actual assessments kept?

Two years after you completed the training product, which is much shorter than the thirty years that applies to the certification documentation. So for a course finished in, say, 2019, the certificate record is retained and accessible while the assessments you submitted are long outside the two-year window. If you need evidence of what you did rather than what you were awarded, the certificate and your national transcript are what exist.

The password reset email never arrives. What now?

The address CHT holds for you may be an old one. Contact CHT and they will check the record rather than leave you cycling through resets.

What is the full order of things to try?

Use the password reset on the portal login page; check which portal you should be in, since pre-2025 and 2025-onwards records are split and the one you remember may not hold the certificate you want; contact CHT on 03 9654 1554 or info@cht.edu.au between 8:30am and 5:30pm Monday to Friday, with your name as it was at enrolment, an approximate course date and your USI if you have it; and use your authenticated VET transcript as an interim record.

What is the single most common reason a record is not found first time?

A name change since you studied. Say so at the start of the conversation.

Is there a record that does not depend on CHT?

Yes. Your USI account gives you an authenticated VET transcript, a national record of nationally recognised training completed with any provider, generated from the USI system rather than by CHT.

Why is that transcript worth knowing about?

Because it covers training from every provider you have studied with, which a single provider's portal never can; it survives a provider closing, merging or renaming; and it is free and immediate, which for many purposes is sufficient.
